Prepared for Abacus Federal Services

Spend less time sorting notices.
Make better calls on the work.

We’ll build Abacus Brain over six months so your team can review a job, find the relevant history, work through the numbers and follow up without piecing it all together from scratch.

01 / Why build this

More time on work that can earn its keep.

The goal is to help Abacus choose better jobs, price them with better information and follow through.

Less time sorting notices

A shorter list based on the work Abacus does, with the scope read and source files ready to review.

Better information before you price

Use past jobs, survey findings and recorded costs to understand the work before committing the crew and travel.

Keep good pursuits moving

Keep the requirements, response and next step with each job, including paid fiber work that comes from existing relationships.

Why this adds value to the company

Job history, contacts, documents and decisions stay with Abacus instead of depending on one person’s memory or inbox. That makes it easier to train the team, evaluate new work and explain how the business operates to a future partner or buyer.

We will measure review effort, follow-through and available estimate-versus-actual results. The commercial goal is better use of the team’s time and better decisions on revenue and margin; awards and profit are not guaranteed.

02 / The six-month build

What you get each month

Working releases throughout the build, with a monthly walkthrough of what shipped.

MONTH 01

Finish the database and daily workspace.

One reliable workspace for opportunities, existing pursuits and customer history.

Work, verification and what we need

What we build

  • Reconcile job identities, duplicates, source files, Copper relationships, reviews and ownership.
  • Complete the core database and workflows: dependable saves, fast briefs, permissions, sync controls and recovery. Plan email access and choose Teams or Slack.

How we check it

Trace real jobs from source to brief to action. Save and reload decisions in the team’s accounts.

Needed from Abacus

Approve access, identify the communication platform and confirm who owns each workflow. Vory handles the cleanup and implementation.

MONTH 02

Bring in past jobs, email and financial records.

A connected job library, approved communication history and read-only financial records linked to jobs where the source supports it.

Work, verification and what we need

What we build

  • Organize the approximately 35 past jobs as records arrive. Extract scope, dates and actual results; retain original files and research base context.
  • Connect approved email, QuickBooks and other agreed business systems with read-only access. Link available invoices, expenses and payments to jobs; migrate agreed project conversations into Teams or Slack.

How we check it

Open a job and inspect its documents, actual results and relevant conversations. Check permissions and correct extracted facts.

Needed from Abacus

Supply available job files and results; approve read-only system access, job matching, channels and retention. Financial integration depends on the records and permissions available.

MONTH 03

Improve the opportunity shortlist.

A prioritized daily worklist with evidence, context and an accountable next action.

Work, verification and what we need

What we build

  • Refine triage for copper removal, central-office cleanouts and fiber work. Match notices to existing pursuits.
  • Apply Craig’s documented reasoning and relevant past-job evidence to Scope Fit. Surface changes, commitments and follow-ons.

How we check it

Review good matches and known misses with Craig. Confirm the same scope, score and next steps across Today and the pipeline.

Needed from Abacus

Review a small sample of good and poor matches and confirm decision rules. The team retains control of customer messages and submissions.

MONTH 04

Build job estimates and financial models.

A job estimating workspace that separates revenue, recovery value, costs and uncertainty.

Work, verification and what we need

What we build

  • Combine survey quantities and removal constraints with actual recovery, ownership and delivery costs. Use job-linked QuickBooks expenses, invoices and payments to compare estimated costs and revenue with recorded results.
  • Build agreed financial models for job margins, cash flow and bid scenarios using available actuals. Refine cost assumptions and flag gaps; keep invoices, cash received, material proceeds and costs separate.

How we check it

Trace an estimate to its evidence. Compare against a withheld completed job when enough results exist; otherwise deliver the worksheet and named data gaps.

Needed from Abacus

Validate field assumptions and financial job mapping. Profit estimates require complete job-level costs; an invoice or payment alone does not establish margin. Base size alone does not establish yield.

MONTH 05

Generate proposal drafts and track follow-up.

A proposal draft prepared from the job requirements, approved company information and relevant past work, ready for Craig to review.

Work, verification and what we need

What we build

  • Build proposal generation using the solicitation requirements, job scope, approved company information and relevant past performance. Include the agreed estimate when available; flag missing answers instead of inventing them.
  • Connect buying routes, deadlines, email and team decisions to owned next actions. Carry relevant paid fiber follow-ons through the process.

How we check it

Generate a draft for a real opportunity, check it against the requirements and sources, and have Craig review the content and pricing before submission.

Needed from Abacus

Review response materials and confirm who approves external communication. No autonomous bids or customer messages are included.

MONTH 06

Test the full process and train the team.

A validated company Brain, trained team and documented operating process.

Work, verification and what we need

What we build

  • Link available wins, losses and completed results to the pursuit and estimate. Compare outcomes with the starting baseline.
  • Complete account-level acceptance, permissions and recovery checks. Deliver training, documentation and data export.

How we check it

The team completes the agreed workflows in its own accounts. Review delivered milestones, measured results and evidence gaps.

Needed from Abacus

Confirm acceptance and the next operating plan. Award timing and job completion depend on the work; neither is promised within the build schedule.

How delivery and timing work

Vory handles design, development, database cleanup, integrations, testing and training. You get weekly progress updates and a working release review each month.

Access and available job records affect timing. We identify missing information and agree any changed milestone. We do not fill gaps with invented quantities or profit.

03 / The company Brain

The job, the history and the numbers in one place.

Connect the records the team needs to make a decision, rather than making them search several systems.

Opportunities + Copper historyPast jobs + source documentsEmail + Teams or SlackQuickBooks + agreed services
How actual costs improve estimates

With approved, read-only QuickBooks access, link available invoices, expenses and payments to the right jobs. Compare estimated costs and revenue with recorded results, then use those comparisons to improve the next estimate.

Invoices, cash received and profit are different measures. Reliable margin estimates need complete job-level costs. The Brain does not create or change accounting transactions.

Financial models built around your questions

We can build agreed models for job profitability, cash flow, crew and travel costs, recovery value and bid scenarios. Tell us what you want to understand; we show the data, assumptions and gaps behind the answer.

The specific models and other service connections are agreed within the build. Estimates depend on the records available, and base size alone does not establish copper yield.

Email, team communication and access

Connect approved email and move agreed project communication into Microsoft Teams or Slack. Link relevant conversations, files and commitments to jobs. Choose access, channels and retention with the team before rollout.

Copper and accounting connections remain read-only. People approve customer messages and submissions. These are proposed integrations, not connections already completed.

04 / Work already delivered

You can see the starting point today.

The opportunity workspace, source material, Copper history, team reviews and past-job intake are already in place. This engagement finishes the database and connections, then builds the remaining tools.

05 / The investment

Six months. $7,500 a month.

Design, development, integrations and testing, delivered in stages the team can use.

Six-month product build
$7,500 /month

Six-month term · $45,000 total.

Usual initial setup fee$25,000 WAIVEDThe foundation is already built. No separate upfront setup payment.

I’m covering the platform, AI and infrastructure costs within that fee. I’m budgeting roughly $2,000/month, but we won’t know the actual costs until we’re a few months in. This is not an extra charge to Abacus.

What the fee covers

  • The six-month build and agreed integrations.
  • Database development, testing and team training.
  • Weekly updates and monthly working releases.
  • Documented workflows and exportable records.
After the build and other terms

Ongoing operation, maintenance, support and further development after month six are optional, under a separate scope and fee. There is no automatic renewal.

Compensation on won work is a separate discussion. No award fee or percentage is included.

Before starting, agree the kickoff date, acceptance criteria and approved access. Scope changes are agreed before being added. Vory covers operating costs for the agreed build during the six-month term.

Let’s walk through the plan with Craig and Nathan and agree the first milestone.
